Terms.

What applies when you browse this site, book a retreat or an extension directly with us, or stay at the camp. The Booking Terms below are the terms you accept at checkout; they are also available from your booking portal at any time.

1. Who we are

Munga Plains is operated by three related entities:

  • Munga Expeditions AG, Schindellegistrasse 73, 8808 Pfäffikon SZ, Switzerland — the contracting party for retreat and extension bookings made on this website.
  • Munga Safari Lodge (Pty) Ltd, Botswana — the lodge operator on the ground.
  • Munga Safaris (Pty) Ltd, Botswana — the safari and activity operator.

“Munga Plains” is the trading name used on this website. For bookings made on this website, “we”, “us”, and “our” means Munga Expeditions AG, except where the context refers to services delivered by the local Botswana operators.

References to our team include our directors, employees, guides, drivers, contractors, representatives, and carefully selected service providers.

Nothing in these terms limits any rights or remedies that cannot legally be limited, including mandatory package-travel, consumer-protection, insolvency-protection, or personal-injury rules.

2. Booking a retreat or extension directly with us

These terms apply when you book a retreat or a retreat extension through this website or directly with our team. They are the terms you accept at checkout. Please read them before paying — especially the payment and cancellation rules: all payments are non-refundable once made, except where these terms or mandatory law say otherwise.

2.1 Your contract

Your contract is with Munga Expeditions AG and is formed when your checkout payment succeeds and we email your booking confirmation. The services included are those described on the booking page and in your confirmation. We may use carefully selected third parties to deliver parts of the experience.

If a retreat is hosted by a visiting retreat leader but you book it here, your booking contract for the trip is with us. The leader is responsible for their own programme, such as yoga, coaching, workshops, and similar retreat content.

2.2 Prices and payment plans

The price, the deposit due today, and any instalment schedule are exactly those shown at checkout and in your booking confirmation. Prices are in the displayed currency and include the services listed. International flights are never included.

Where you choose a payment plan, you authorise us to collect each instalment on its due date using your saved payment method, or we will invoice it for manual payment.

2.3 Missed payments

If an instalment fails or is not paid when due, we will remind you. If it remains unpaid 14 days after the due date, we may cancel the booking. In that case everything paid to date is forfeited and no further instalments are due. We may refuse to provide services while any amount is overdue.

2.4 If you cancel

You may cancel at any time by writing to info@mungaplains.com. The cancellation takes effect on the day we receive it.

On cancellation:

  • Everything you have paid — deposit and instalments — is forfeited and will not be refunded.
  • Remaining unpaid instalments are cancelled; you owe nothing further.
  • Not showing up, or arriving too late to join, counts as a cancellation.

This is why we strongly recommend cancellation insurance (see 2.9).

2.5 Changing your booking

Name changes. You may transfer your place to a replacement guest at no charge by us, except for third-party costs we cannot avoid. Tell us in writing. The replacement must meet all trip requirements, including passport, visas, health, and similar requirements, and must accept these terms.

Date changes. Moving your booking to different dates is possible only with our written approval and subject to availability and any price difference. If a date change is not possible and you do not travel on the booked dates, the cancellation rules in 2.4 apply.

2.6 Extensions

An extension is booked as an add-on to a specific retreat and follows these same terms, with one addition: if we or the retreat leader cancel the retreat your extension is attached to, you choose between a full refund of the extension or a credit towards a future trip.

If you cancel your retreat, your extension is treated under 2.4 unless we agree in writing that you keep the extension as a standalone stay.

2.7 If we cancel or change the trip

If we cancel your retreat or extension before departure for reasons within our control, you choose between a full refund of everything paid or a credit towards a future trip. That refund or credit is the full extent of our liability for the cancellation, except where mandatory law gives you additional rights.

If the booking page or your confirmation states that a minimum number of participants is required, we may cancel the trip if that minimum is not reached and we notify you by the stated deadline. In that case you choose between a full refund of everything paid or a credit towards a future trip, and no additional compensation is due to the extent permitted by law.

In the event of unforeseeable or unavoidable circumstances or force majeure, including war, strikes, natural disasters, epidemics, pandemics, withdrawal of landing rights, official measures, and similar events, we may substitute affected services with alternatives of equivalent quality where possible. If we cancel before departure, or if significant parts of the trip cannot be delivered or rescheduled, you choose between a refund of amounts paid or a credit towards a future trip. No additional compensation is due to the extent permitted by law.

After departure, if a significant part of the booked services cannot be provided, we will make suitable alternative arrangements at no extra cost where possible and provide any price adjustment required by applicable law. Minor adjustments that do not substantially affect the experience do not qualify for refunds or credits.

2.9 Travel insurance

We strongly recommend comprehensive travel insurance for every participant, covering trip cancellation, medical treatment, emergency evacuation, and repatriation. Given the no-refund policy above, cancellation insurance is your protection if plans change.

2.10 Your responsibilities

  • Provide true, accurate, and complete details for every participant when we ask for them, and keep them up to date.
  • Arrange your own international and domestic flights unless expressly included, and all passports, visas, vaccinations, and entry requirements. Arrive at the agreed meeting points on time. Missed connections are not our responsibility.
  • Confirm that every participant is in adequate health for the trip. Tell us before the trip if any participant is pregnant or has a condition that could affect participation. We may restrict access to specific activities we consider unsafe, without a price adjustment.
  • Make sure everyone you book for has seen these terms and follows them, along with applicable laws and our team’s instructions. If you book for someone else, you confirm that you are authorised to accept these terms on their behalf.

2.11 Safety and assumption of risk

We operate in a remote wilderness environment with inherent risks: wild animals, uneven terrain, weather, and limited access to medical facilities. By booking, you and every participant acknowledge and accept these risks, including the risk of bodily injury, and agree to follow the safety instructions of our guides and staff at all times.

On arrival, every participant signs a Liability Waiver and Indemnity Agreement covering game drives, walking activities, food allergies, property, and related safety points. Media consent, if requested, is handled separately.

We may remove a participant from an activity or from the camp if we reasonably believe their behaviour endangers them, endangers others, disrupts the trip, harasses staff or guests, breaks local law, or ignores guide or staff instructions. No refund is due in that situation, except where mandatory law requires one.

2.12 Liability and complaints

We are liable for bodily injury caused by our fault or that of our service providers. Nothing in these terms limits liability for personal injury where such limitation is excluded by law.

For all other damages arising from non-performance or improper performance of the contract, our liability is limited to twice the amount you paid, except in cases of intent or gross negligence. We are not liable where the failure is attributable to you or another participant, to unforeseeable or unavoidable acts of third parties unconnected with the provision of the booked services, or to force majeure. Compensation limits in international conventions remain reserved.

If something is wrong during your trip, tell us immediately — ideally the same day — so we can fix it. Claims must be notified to us in writing within 30 days of the end of the trip. Third-party providers are not authorised to accept claims on our behalf.

3. Using this website

By accessing this website you agree to use it only for lawful purposes. Content, photography, and design are copyright Munga Plains and its licensors; please don’t reproduce material without permission.

General website content is provided as-is and may change. We keep information as current as we can, but can’t guarantee availability or accuracy at any given moment. Once your booking is confirmed, the relevant booking page and your confirmation form part of your contract.

4. Retreats booked elsewhere

Some retreats listed here are hosted by visiting teachers and booked through their own platforms. In that case your booking contract is with the teacher or their platform under their terms; ours apply to the stay at the camp.

Retreat leaders who contract a retreat with us directly are governed by our General Terms & Conditions provided with their contract, not by section 2 of this page.

5. Privacy

How we collect and handle personal data is explained in our Privacy Policy. Booking data is shared with third parties only as needed to deliver your trip.

6. Governing law and disputes

These terms and your booking contract are governed by Swiss law, to the extent permitted by mandatory law. Disputes are subject to the jurisdiction of the ordinary courts of Lausanne, Switzerland, without prejudice to our right to bring action at your domicile and without limiting any mandatory consumer forum rights. The on-arrival Liability Waiver is governed by the laws of the Republic of Botswana.

If any provision is found invalid, the rest remain in force. Before any legal action, we’ll try to resolve disputes amicably. For unresolved cases you may contact the independent Ombudsman for the Swiss travel industry at ombudsman-touristik.ch.
